Refunds, deposits, and rescheduling

## Scope This policy applies to professional engagements described on this site (pre-audit anomaly review, closing pack readiness check, interim sampling support) and related deposits. It does not cover software subscriptions or physical product shipments — we do not sell those. ## Deposit and fee structure Quotes typically require a **40% deposit** to reserve calendar space within six weeks of your fieldwork window. The balance is due when we deliver the agreed memo, checklist, or interim briefing. ## Full refund eligibility A full refund of amounts paid is available if: - We cancel the engagement for reasons within our control, or - You cancel in writing more than **14 days** before the agreed intake start date and we have not begun file intake or analysis ## Partial refunds If you cancel between **7 and 14 days** before intake start, we retain 50% of the deposit for reserved capacity and refund the remainder of amounts paid for work not performed. If cancellation occurs **fewer than 7 days** before intake, or after extracts have been transferred, the deposit is non-refundable. Fees for completed phases remain payable. ## Non-refundable items - Deposits after file intake has begun - Fees for delivered exception memos, readiness checklists, or interim briefings - On-site travel costs already incurred with your prior written approval ## Work already started Once anomaly detection or human ranking has started on your extracts, that phase is billable. Unused later phases (for example a cancelled second remediation pass) may be refunded or credited if separately priced and not begun. ## Rescheduling You may reschedule once without penalty if you give at least **10 days’** notice and a new date within 60 days is mutually available. Further reschedules may require a new deposit. ## No-shows If your named contact fails to attend a scheduled working session without 24 hours’ notice, we may charge a session fee or deduct equivalent time from remaining scope. ## Refund process and timing Email hello@codenexusai.digital with your engagement reference and reason. Approved refunds are processed to the original payment method within **14 business days**. Bank transfer fees charged by intermediaries are outside our control. ## Exceptions Force majeure events (including sudden regulatory fieldwork freezes affecting both parties) are handled in good faith — typically by rescheduling first, with refund discussion if a new date cannot be set within 90 days.
